Main purpose of job: As Corporate Services Assistant (CSA) the job holder will support the whole Embassy team to ensure the effective operation of the Embassy. The CSA is a vital part of our small but vibrant British Embassy team in Reykjavik. The role best suits someone comfortable getting stuck in to support the full spectrum of Embassy activity where no day will ever be the same. The job holder should also have strong attention to detail to ensure full implementation of FCDO corporate policies, including those relating to health and safety and value for money. The job holder should also be confident in prioritising at pace and juggling competing demands as required. The role reports to the Corporate Services Manager and then to the Deputy Ambassador as required. The Embassy takes learning and development extremely seriously and there will be a wide variety of opportunities for the job holder, both specifically related to the role and the much wider full FCDO L&D offer. What will the jobholder be expected to achieve: An example of percentage of key responsibilities and sample description listed below: - General Corporate Services (40%): Working closely with the CSM you will be responsible for assisting across the full range of activities needed to keep the Embassy up and running to deliver for the UK in Iceland. This will include processing payments, purchasing supplies for the Office and official Embassy events, supervising contractors and supporting the visits of regional technical staff. You will also support ad-hoc Embassy projects, campaigns and initiatives with the potential to get involved in delivering additional initiatives or supporting comms, events or policy delivery depending on your interests.
- Estates (30%): You will ensure that the UK Estate in Reykjavik (Embassy, Residence and residential rented properties) are maintained to the right standards and compliant with FCDO Estates policy. This will involve coordinating with FCDO regional specialists, becoming an expert in FCDO Estates standards and sourcing and supervising contractors work as required, alongside landlord liaison as needed. You will also be the Fire Safety Manager (FSM) and ensure that all fire safety requirements are fully met.
- Protocol (15%): You will be responsible for fulfilling all protocol requirements for the Embassy including managing requests from the UK Military, issuing Note Verbales as needed to support Embassy business and supporting arriving and departing diplomats. You will also be responsible for managing diplomatic mail and managing the clearance of any imports or diplomatic deliveries.
- Driving (15%): You will act as the driver for the Ambassador and Embassy as required to support important meetings or high-level visits. You will coordinate any additional transport or logistical requirements for visits or in a crisis situation. You will be responsible for the official vehicle, ensuring it is maintained appropriately and FCDO transport policies followed.
As a small flexible team like all Embassy staff the job holder will be expected to flex their role and responsibilities to adapt to changing requirements over time. |
